Answers to common questions about Tilify's point-of-sale, inventory, and revenue assurance platform for SADC retailers.

Getting Started

Tilify is a web-based point-of-sale (POS) and inventory management app built for retail shops across Southern Africa. It runs in your browser on any device — phone, tablet, or computer — with no software to install.

Here's what happens when you use Tilify:

  • Sell — Ring up sales on a visual product grid. Accept cash, card, mobile money, or credit account payments. Receipts are generated with a unique code for lookup.
  • Track stock — Every sale automatically deducts stock at your branch. Receive deliveries, transfer between branches, count physical stock, and track adjustments (breakage, theft, expired).
  • Manage shifts — Cashiers open and close shifts with denomination-level cash counts. Blind cash-up ensures honest counting.
  • See your profit — Real-time dashboard, daily sales reports, full Profit & Loss statements, and Revenue Assurance to catch discrepancies between stock and sales.
  • Work offline — Tilify is a Progressive Web App (PWA). Sales, expenses, and shift operations continue without internet and sync automatically when the connection returns.

Your data is stored securely in the cloud and accessible from any device where you sign in.

Tilify is designed for retail shop owners in Southern Africa (SADC) — tuck shops, grocery stores, convenience stores, hardware shops, takeaways, and any business that sells physical products over a counter.

  • Start selling — Your 14-day free trial begins immediately with full access to all features.

Tilify has three plans, all billed in South African Rand (ZAR) via Paystack. Save with quarterly (~6% off) or annual billing (two months free).

Every plan includes: full POS, stock management, customer credit, Revenue Assurance, Profit & Loss reports, offline mode, receipt printing, and WhatsApp receipt sharing.

The main differences between plans are the number of branches and team members you can add.

Yes. Every new account starts with a 14-day free trial — no credit card required. You get full access to all features during the trial so you can evaluate Tilify with real data before committing.

When the trial ends, you'll be prompted to choose a plan. Your data is preserved — nothing is deleted.

Subscription payments are processed through Paystack, a trusted payment provider used across Africa. You can pay with any Visa or Mastercard — debit or credit. Your card issuer handles any currency conversion automatically if you're outside South Africa.

Subscriptions renew automatically. You can update your card details or cancel any time through Settings → Plan & Billing → Manage Subscription.

Yes. Cancel any time from Settings → Plan & Billing → Manage Subscription. When you cancel:

  • You keep full access until the end of your current billing period.
  • No further charges are made.
  • Your data remains stored and accessible in read-only mode.

Features

Yes. Tilify is a Progressive Web App (PWA) with full offline support. When the internet drops:

  • Sales continue — All transactions queue locally and sync when the connection returns.
  • Shift operations work normally — open and close shifts, count cash.
  • Expenses can be recorded offline.
  • New customers can be added.

An offline indicator appears in the header. Everything syncs automatically — don't sign out while offline.

Yes. On the Growth plan (up to 3 branches) or Pro plan (unlimited):

  • Each branch has its own stock levels, shifts, and sales records.
  • Products are shared across branches, with optional per-branch pricing for items that cost differently at different locations.
  • Cashiers are assigned to a specific branch and can only sell there.
  • Managers and owners see consolidated reports or filter by branch.
  • Stock can be transferred between branches with full tracking. A transfer is all or nothing, so it never leaves stock half-moved.

Tilify has a built-in customer credit system:

  • Add customers with a name, phone number, and optional credit limit.
  • At checkout, choose Credit Account and select the customer. The sale is recorded against their balance.
  • Track outstanding balances on the Customers page. Record payments as customers settle.
  • The Credit Ledger shows full transaction history per customer.

A credit sale to a customer whose balance has been unpaid for more than 60 days needs an Admin PIN.

Credit sales access for cashiers is optional — the owner can enable or disable it in Settings.

On the Customers page, tap the charge button on the customer's row (Add charge / cash advance). Enter the amount and a note saying why, which is required. It adds to what the customer owes, and it shows on their statement and in the Credit Ledger.

When they pay, use the payment button on the same row.

Tilify provides comprehensive business intelligence:

  • Dashboard — Today's sales, top products, revenue trends at a glance.
  • Today's Sales — Receipt-level detail of every sale, expandable to line items. Void and return from here.
  • Reports — Sales by category, payment method breakdown, daily/weekly/monthly trends.
  • Profit & Loss — Full P&L statement with revenue, cost of goods sold, shrinkage, operating expenses, and net profit. VAT-registered businesses see ex-VAT figures with a VAT summary.
  • Revenue Assurance — Reconciles sales vs. stock movement to detect unrecorded sales, overselling, and shrinkage.
  • Daily email reports — Automated summary sent to the owner every morning.

A card that adds up the value in your business right now:

  • Stock at cost — what your current stock cost you
  • Profit in stock — the extra you would earn if all of it sold at its selling price
  • Net profit — what you have already earned this period

Together they give the Total Shop Value. The stock figures are a snapshot of today and follow the branch you filter by. Stock with no cost price is counted separately with a warning, because the true value is higher than shown.

Revenue Assurance is Tilify's stock-vs-sales reconciliation tool. It answers the question: "Did every product that left my shelf get rung up?"

  • Compares opening stock + deliveries against closing stock + sales.
  • Flags unrecorded units (stock left the shelf but no sale was recorded — possible theft or wastage).
  • Flags oversold units (more rung up than stock movement explains — indicates a counting error).
  • Calculates estimated missing revenue in Rands.

This is the feature owners use to hold their shop accountable. Available on all plans.

The Warehouse Management System is for businesses that have a central warehouse or distribution centre separate from their retail locations. It includes:

  • Warehouse-specific stock tracking with bin locations
  • Receive and dispatch workflows
  • Purchase orders for suppliers
  • Warehouse-to-shop transfers
  • Warehouse stock counts and adjustments

WMS is available on all plans. Enable it in Settings → Warehouse.

An optional module that gives each branch its own web page where customers can browse what you sell, sign up, and place an order for delivery. Nothing changes for your shop until the owner switches it on.

  • You choose what appears. A product is visible online only once you publish it in Shop Catalogue. Adding a product never publishes it.
  • Customers pay cash on delivery. There is no card payment on the shop.
  • Orders arrive in Shop Orders. Your team confirms the order, dispatches it, and rings it up at the till when the driver is back with the cash. You can also have an email sent for every new order.

To switch it on (owner only):

  1. Go to Online Shop. Only the owner can open this page. Each branch has its own panel marked Live or Off.
  2. Set the Shop web address, e.g. my-shop-name. Must be unique across Tilify.
  3. Fill in WhatsApp number, Delivery fee, optional Minimum order total, About this shop, Opening hours and a Logo.
  4. Optionally enter an Order notification email.
  5. Tick Online shop enabled and tap Save — then tap it again to confirm, since this makes your catalogue visible to anyone with the link.
  6. Go to Shop Catalogue and publish the products you want customers to see — a shop with nothing published shows an empty page.

It is still being finished. Customers cannot order prescription items online yet (they are pointed to your WhatsApp instead), and the rules for how long prescription photos are kept and the health-data wording in the Terms and Privacy pages are still to come.

Tilify plays a chime when a new online-shop order comes in — from anywhere in the app, not only while you have Shop Orders open. There's a small Sound on / Muted button next to Refresh on the Shop Orders page if you need to turn it off (for example, during a quiet period), and it stays off on that device until you turn it back on.

You can also set an Order notification email on the Online Shop page so an email goes out for every order, whether or not anyone is at the till.

Once your shop is switched on, the Online Shop page shows a Share your shop panel with a QR code customers can scan, a Copy link button, and a Share on WhatsApp button that opens WhatsApp with the link ready to send.

Yes, if you sell food you make. Switch on Prepared Food in Settings and an Ingredients page appears.

  • Add each ingredient with its unit, what you pay, and how many units that price buys (R50 for a 2.5kg bag is a pack quantity of 2.5).
  • On a prepared product, build a Recipe: how many items one batch makes and which ingredients it uses.
  • Tilify works out the cost of each item and keeps it up to date when ingredient prices change, so your profit is not overstated.

Until every ingredient has a pack quantity, the item's cost stays blank rather than showing a wrong figure.

Yes. Turn on Wholesale Mode for a branch in Settings. On each product you want to discount, tick Enable wholesale pricing and set a minimum quantity and, if you like, a fixed wholesale price. If you leave the price blank, the discount is set at the till instead.

Operations

Go to Products → Add Product. For each product you enter:

  • Name and category (e.g. Drinks, Snacks, Bread)
  • Selling price — what the customer pays
  • Cost price — what you pay (package price ÷ quantity in pack)
  • Reorder level — get alerts when stock drops below this, per branch
  • Optional: per-branch price overrides, barcode/SKU

Products appear in the POS grid immediately. Stock is managed per branch — add quantities via Receive Stock.

A product's Inventory ID doubles as its barcode: edit it on an existing product to match what's printed on the packaging, and a USB or Bluetooth scanner will find and add it at the POS — no separate scan mode, and no need to click the search box first.

Go to Settings → Team:

  • Tap Add Team Member. Enter their name and email. They'll receive a login with a temporary password.
  • Choose their role: Cashier (POS, shift, stock count, expenses) or Manager (everything except billing).
  • Assign cashiers to a specific branch — they can only sell at that location.
  • For managers, you can fine-tune permissions (e.g. allow reports but not voiding sales).

Each branch has a shared 4 to 6 digit PIN for the till (separate admin and cashier PINs). Team members sign in with email/password first, then enter the branch PIN. Optionally, an owner can set a personal PIN for each team member in Settings → Team, so till actions are attributed to that person by name instead of just "admin" or "cashier".

Yes. After every sale, Tilify generates a receipt with a 6-character code (e.g. 3F9A2C). You can:

  • Print to any connected printer (thermal receipt printers work best)
  • Share via WhatsApp — send the receipt as an image to the customer
  • Look up any receipt later using its code on the Sales page

Receipts show your shop name, items, prices, payment method, and date/time.

Stock counts in Tilify follow a two-step approval process:

  • Count — Any team member (cashier or manager) goes to Stock Count, enters actual quantities for each product, and taps Save. This creates a pending count session.
  • Approve — Only the shop owner can review and confirm a pending count. Confirming updates the stock levels in the system.

This prevents a cashier from silently adjusting stock to hide losses. The count is recorded but doesn't change anything until the owner approves it.

Cashiers count blind: they do not see the expected quantity. A count sets stock to what is on the shelf; it does not record deliveries, sales or opened bulk packs. Optionally, you can require a stock count before a shift can be closed (enable in Settings). See also What are count flags and cycle counts?

Each job has its own screen, and they do different things to your stock:

  • A delivery arrived — Receive Stock. It adds to what you have.
  • A number is wrong — Stock Adjustments. It adds or removes a difference, with a reason (breakage, expired, theft and so on).
  • You counted the shelf — Stock Count. It replaces the figure with what you counted, once the owner approves it.
  • You moved stock between branches — Stock Transfers.
  • You opened a bulk pack into smaller packs — Break Bulk.

A count does not record a delivery, a sale or an opened pack. Using it for those makes your numbers drift.

Use Break Bulk (owner or manager, on the Admin PIN):

  • Pick the bulk item and how many units you opened.
  • Add each smaller item with how many were actually made, tapping + after each.
  • Tap Review, check the figures, then Yes, record it.

The bulk item goes down and the smaller items go up in one step, with your name and the time on it. Quantities are free-form because a bag rarely yields exactly the same every time. The bulk item must already have stock recorded at that shop. A recorded breakdown cannot be edited; if a number was wrong, correct it with a Stock Adjustment.

When the owner reviews a stock count, unusual lines are flagged and listed first: a difference worth R100 or more, a swing of 15 or more units, a count well above stock the system thinks is nearly gone, many lines off in the same direction, or the same direction three counts running. The owner ticks that they have reviewed the flagged and uncounted items before applying the count.

Cashiers count blind: they do not see the expected quantity or any difference while counting.

A cycle count is an optional short count of about 20 items picked at random, mostly fast sellers. Turn it on in Settings → Cycle Counts. It adds a Cycle count button to Stock Count and gives owners a variance report of items that keep coming up short. It does not replace the full count some shifts need before closing.

The POS only shows an item while Tilify has stock of it at that shop. If a product you expect is missing, the new stock has not been recorded. Ask a manager to add it with Receive Stock.

An item with no recorded stock cannot be sold. Topping stock up with a Stock Count does not record a delivery, so use Receive Stock for deliveries.

Menu: on the Point of Sale screen only, the menu is hidden to give the products and cart more room. Tap the menu button in the top-left corner to open it.

Recent: the row above the products shows the last items added to the cart on this device (up to 8) so you can add them with one tap. It is hidden while you search, and it is remembered per device, not shared between tablets.

Cash buttons: in the Payment window, with Cash selected, the buttons under Cash tendered are Exact and the next round amounts above the total. They only fill in the box; you can still type any amount.

Go to Stock Transfers, choose the source and destination branches, and add items. Tilify checks the source branch's live stock as you add each item and again before it moves anything.

A transfer is all or nothing: either every item moves, or none does, so a failed transfer never leaves stock half-moved. If it fails you see Nothing was moved and the reason. If your connection drops, check Recent transfers or press Confirm again: pressing it twice never moves stock twice. Every transfer produces a receipt you can print or share.

Yes. Go to StockPilot Import (Admin PIN), choose the CSV exported from StockPilot, check the preview, and tap Apply. Products are matched by Inventory ID.

Unlike a normal Stock Count, an import changes stock straight away with no separate approval step, so look through the preview before you apply it.

Go to Reorder List — it shows every product at or below its reorder level at your current branch. From there you can:

  • Filter by supplier or category, tick the items to order, and adjust quantities (entered in packs)
  • Send the order via WhatsApp, PDF, or Copy
  • Tap Create PO to save it as a Purchase Order with its own number

When the delivery arrives, go to Receive Stock and tap Load from PO to pull in the supplier, items, and quantities automatically — no retyping. Saving the receipt marks the PO as received and generates a Goods Received Note you can also share via WhatsApp, PDF, or Copy from the receipt's History.

Go to Suppliers and add each shop or wholesaler you buy from, with an optional phone, email and notes. The list feeds the supplier drop-down in Receive Stock and on the Reorder List, so a supplier is always spelled the same way. You can hide a supplier you no longer use. Past deliveries keep the name they were recorded with.

Both are managed on the Promotions page:

  • Promotions — a percentage discount on one product that applies automatically whenever it's in the cart, for a chosen date range
  • Combos — a fixed price for a specific pair of products, added to the cart as one deliberate tap at the till (e.g. "Bread & Butter" for a set price)

A combo tile only appears at the POS when both products have stock at the current branch.

Yes. If your business is VAT-registered, enter your VAT percentage in Settings. Tilify then:

  • Calculates all revenue and COGS figures ex-VAT on the Profit & Loss page
  • Shows a VAT Summary card with output VAT collected, input VAT on stock purchases, and net VAT payable
  • Assumes all selling prices are VAT-inclusive (standard in SADC markets)

Non-VAT-registered businesses see raw figures with no VAT breakdown.

Security & Support

Yes. Tilify takes data security seriously:

  • Encryption in transit — All data is encrypted with HTTPS/TLS.
  • Row-level security — Your data is isolated at the database level. No other business can see or access your records.
  • PIN-based till access — Separate admin and cashier PINs protect till operations even on shared devices. Repeated wrong guesses pause the till for a minute, and PINs are stored so they cannot be read back.
  • Permission controls — Owners can restrict what each manager can see and do.
  • Immutable sales records — Sales cannot be edited or deleted. Voids and returns create new audit-trailed records.
  • Period locking — Lock past periods to prevent changes to historical data.

Data is hosted on Supabase infrastructure with automatic backups. Tilify is built by MK Global SA (Pty) Ltd, registered in South Africa (2025/522597/07).

After 10 wrong attempts within a minute, the till pauses and shows Too many attempts — try again in a minute. After a minute the correct PIN works again. It stops anyone guessing a PIN, and PINs are stored in a scrambled form so nobody can read one back. If a PIN is forgotten, the owner sets a new one in Settings → Access PINs.
